# A better trip starts with a better brief

You do not need a finished itinerary before speaking to a travel consultant. A few considered details are enough to turn a broad idea into a useful conversation. Start with the purpose of the trip, the people travelling and how you would like the journey to feel.

## Start with the reason you are going

A celebration, a family break and a team offsite might share a destination, but they need different plans. Tell the team what you hope the trip will give you: time together, a proper rest, a new experience or a productive gathering. Add the two or three things that would make it feel successful. This is often more helpful than a long list of attractions. For corporate travel, distinguish essential work commitments from activities that would be welcome if time and budget allow.

## Be clear about the dates—and the flexibility

Share your preferred departure point, travel window, number of nights and any dates that cannot move. If you have flexibility, say where it sits: a different departure day, a shorter stay or another destination entirely. Include the travel days in your thinking. An itinerary with four nights away may leave fewer full days than expected once flight times and transfers are considered. Where an event or appointment anchors the trip, allow breathing room around it rather than treating every connection as interchangeable.

## Choose a pace your group will enjoy

An attractive itinerary on paper can become tiring when every day involves an early start or another change of accommodation. Consider the ages, interests and energy levels of the people travelling. Decide which experiences deserve a full day and where you want free time. Groups do not need to do everything together, but the plan should explain when shared arrangements begin and end. A quieter day between outings can make a journey more enjoyable than adding one more stop.

## Give the budget some useful context

If you are comfortable sharing a range, explain whether it is per person or for the whole group, and which currency you mean. Say whether you expect it to cover flights, accommodation, meals, transfers and activities. Identify the priorities you would protect if a choice is needed: location, privacy, a particular experience or the convenience of direct travel. A budget is a planning tool rather than a promise that every request can be included. Keep optional extras separate from the essentials so quotations are easier to compare.

## Know what is proposed and what is confirmed

Destination inspiration and sample itineraries are starting points. Before accepting arrangements, read the written quotation, inclusions, exclusions and relevant supplier conditions. Check the property or service identified, the payment schedule, the treatment of changes and cancellations, and when availability is secured. Ask about anything that is unclear rather than relying on a photograph or a short conversation. A request for a quote does not itself reserve a room, flight or activity. Keep the final agreed itinerary and contact details somewhere easy to reach while travelling.

## Keep these in mind

- Share the purpose, people, dates and departure point before trying to solve the entire itinerary.

- Protect the experiences that matter, and leave enough time to enjoy them.

- Compare written inclusions and supplier terms before treating an arrangement as confirmed.
